Waitlist Roster Details

Want to check and see which children are on the Waitlists for your Classes, Camps or Aftercare? Popsicle makes this extremely simple and quick to do, with just a few steps!


First, you will click on the appropriate icon along the left side of your page--Classes, Camps, or Aftercare.  Then, click on the class name of the waitlist you'd like to view. And click on the Waitlist section above the search bar, here: 


Parents on your waitlist will automatically be notified by email if a spot opens up on a roster, and they are the next person on the waitlist. If they have not confirmed their spot and paid for the activity within 8 hours, an invite is automatically sent out to the next parent on the waitlist.

There are two ways to open up a spot in your activity:

  1. Delete a child from the roster.  To do this, you will click on the Activity icon from the left-hand menu, and click on the activity you'd like to view the roster for.  There, you will click on the three dots to the far right of the child you will be removing, and choose Delete.

2. Increase the maximum enrollment, which will add as many open spots as you would like to add to the class.  To increase the maximum enrollment number, click on the Classes, Camps, or Aftercare icon from the left hand menu, then click on the three dots to the far right of the activity, and choose Edit.  

From there, in the "Setup" box near the right of your screen, choose "Fees & Add-Ons" and then adjust the Max Enroll numbers near the center of your screen as seen in the screenshot below.  Once you've done this and clicked on "Save and Done" you're all set! 🎉

A child can be added to the Waitlist roster in two different ways:

  1. Via Parent Portal
  2. Via School Portal

This provides flexibility for both parents and admins to manage enrollments efficiently.

The ability to add a child to the Waitlist roster becomes available only when:

  • The Main roster of the activity is full.
  • There is at least one available spot in the ‘Waitlist’ roster.

Waitlist Statuses:

  1. Wait List: The child has been added to the Waitlist roster and is waiting for a spot to become available in the Main roster.
  2. Invited: A spot has become available in the Main roster, and the next child in line receives a confirmation email, offering the spot.
  3. Skipped: The parent has opted to give up the spot on the roster, and the child is now marked with a "Skipped" status.
  4. Expired: The parent was unable to complete the payment for the spot within 8 hours. As a result, the child loses the spot in the Main Roster and is now marked with an "Expired" status.

General Waitlist requirements:

  • A child can only be added once to the Waitlist roster if the status is ‘Wait List’ or ‘Invited’. If the child’s status changes to ‘Skipped’ or ‘Expired’, they can be added again to the Waitlist roster.
  • A child cannot be added to the Waitlist roster if they are already enrolled in the ‘Main’ roster.
  • If multiple children are on the waitlist, the 'Spot Available' email is sent in the order in which they were added to the waitlist.
  • The statistic in the ‘Waitlist’ roster counts only children with the ‘Wait list’ status.
